Evaluating DAM vendors through customised scenario demonstrations while keeping stakeholders engaged

Abstract:
This paper summarises the digital asset management (DAM) evaluation and selection process as conducted by the Royal Botanic Gardens, Kew. The Royal Botanic Gardens, Kew successfully chose the best suited DAM provider and product by inviting vendors to conduct customised scenario demonstrations. This case study will focus on five important evaluation steps to consider including: (1) market analysis leading to a vendor shortlist; (2) choosing the right level of vendor evaluation; (3) creating realistic scenarios and a robust scoring mechanism; (4) vendor considerations; and (5) keeping stakeholders engaged during the evaluation process.
