Knowledge Management Maturity in Relation to Alumni and AI-Based Functionalities: An Applied Study at UFSC

Abstract:
This article presents a case study on the maturity of knowledge management (KM) at a Brazilian public university, focusing on institutional relationships with graduate alumni. The research was conducted at the Federal University of Santa Catarina (UFSC) and is based on the hypothesis that alumni are strategic sources of organizational intelligence whose value requires consolidated KM practices and mediating technologies, such as artificial intelligence (AI). Utilizing a qualitative and exploratory approach, the study combined an integrative literature review with a diagnosis applied to institutional managers, employing an adapted KM maturity assessment tool. The results indicate that the average KM maturity level in relation UFSC alumni is 1.27, classified as “reaction” according to the Asian Productivity Organization model, reflecting a low level of institutionalization of the topic, with deficiencies in the technology, processes, and people dimensions. Based on these findings, five AI-based functionalities were proposed, namely a semantic engine, intelligent segmentation, engagement prediction, analytical dashboards, and an explainable chatbot, grounded in principles of transhuman co-production and algorithmic ethics. This study significantly contributes by proposing an analytical and functional model that not only strengthens the university–alumni relationships but also guides responsible digital transformation in public higher education institutions through a critical and ethical valorization of institutional knowledge, mediated by AI.
